Managing clients

Clients can be registered by staff, or they can register themselves when the clinic permits it.

Configure client intake

In Clinic Settings → Client intake, administrators can configure:

  • Allow client self-registration — shows the clinic registration path so clients can create their own account.
  • Require admin approval — keeps newly self-registered accounts pending until an administrator approves them. This option has no effect when self-registration is off.

Staff can always create a Client account from Manage Users or Clients → Register New Client. Staff-created accounts are already email-verified.

Client list and records

When Client management is enabled, Clients shows the accounts visible to the signed-in practitioner or administrator. Select a client to edit profile details and access clinical workflows. Account archiving and restoration take place in Manage Users.

The same person's record at another clinic is separate and inaccessible from your workspace.

Care teams and strict access

Clients choose public practitioners for their care team from Profile. The first selection becomes primary; later selections are secondary. Making a secondary practitioner primary demotes the previous primary. A client can remove a practitioner and optionally cancel upcoming appointments with that person.

With open charts, clinic practitioners can open clinic client charts. With Strict chart access, only primary or secondary care-team practitioners and practitioners with an unexpired break-glass grant can open a chart. Appointments, conversations, prescriptions, tests, and documents are not direct access sources. Public booking and staff-created appointments enroll the assigned practitioner as primary when no primary exists, or secondary otherwise. Starting a new client/practitioner conversation enrolls the practitioner as secondary. Administrators configure the policy and emergency grant duration in Clinic Settings.

Documents are stricter than the general open-chart policy: practitioners need care-team membership or active break-glass access for document metadata and files in every clinic. Administrators retain tenant-wide document access.
