Appointments

Virtual Clinic provides public booking pages and an authenticated calendar for managing your own visits.

Booking an appointment online

Open a provider's booking link or find them through the provider directory. The booking flow asks you to:

  1. choose Returning client or New client;
  2. sign in, or register with your name, email address, and password; and
  3. complete the appointment form and submit it.

Registration inside this flow gives an unverified new client a 48-hour window to sign in and finish the booking. The verification email is still required for continued access after that window. If you are already signed in, the identity step is skipped.

Your appointment calendar

Open Appointments in your provider workspace. The calendar supports month, week, and day views and contains only appointments available to your account in that workspace. Open an event to see its details.

Appointments move through these statuses:

  • Active — an initial active state before normal scheduling;
  • Scheduled — placed on the calendar;
  • Confirmed — accepted and ready for the visit;
  • Checked-in — the client has arrived or entered the visit workflow;
  • Completed — the visit has finished;
  • Cancelled — cancelled before completion; or
  • No-show — the scheduled client did not attend.

Completed, Cancelled, and No-show are terminal states. The application prevents an appointment from being reopened or moved through an invalid status sequence.

Editing and deleting

Open one of your appointments and select Edit to change the fields exposed by the form, such as its date, time, type, description, symptom, service, or assigned participants when your role permits. The current detail form displays the appointment status but does not provide manual status transitions or a separate cancellation-status control. Select Delete Appointment to remove the appointment after confirming the prompt.

The API limits updates and deletion to the booked client, assigned practitioner, or a clinic admin. If a control is unavailable or a change is rejected, contact the provider.

Completing a public booking or creating an appointment through the dashboard automatically enrolls the assigned practitioner in your care team. They become primary when you have no primary practitioner, or a secondary member otherwise. The care-team membership—not the appointment row—is the chart-access source.

Joining an online appointment

An appointment must be Online and either Confirmed or Checked-in before its video call is available. The Join call action opens 15 minutes before the scheduled start and remains available through the appointment end time.

Before connecting, review the camera and microphone choices on the pre-join screen. The call page provides video/audio controls and an in-call chat. That chat is temporary for the call and is not saved into the normal Messages history.

If the action says the call is too early, has ended, has the wrong status, or is not an online appointment, return to the appointment details and verify its time/type/status or contact the provider.
