Managing your schedule

Virtual Clinic gives you a calendar to track and manage appointments, and a separate schedule page to define your working hours. Both are available from the main sidebar once you sign in.

The appointments calendar

Your Appointments page shows a calendar view of all your appointments. You can switch between month, week, and day views using the controls at the top of the calendar.

Appointments appear as color-coded blocks on the calendar. From the calendar you can:

  • View or edit an appointment — click any appointment block to open the detail panel on the right side of the page. From there you can update the appointment details or change its status.
  • Reschedule an appointment — drag an appointment block to a new time slot. The appointment is updated immediately.
  • Change an appointment's duration — resize an appointment block by dragging its bottom edge. The end time updates to match.
  • Create a new appointment — click an empty time slot on the calendar and a new appointment form opens with the start and end times pre-filled. You can also click the + Schedule Appointment button at the top of the page to open the form with no times pre-filled.

The calendar shades standard working hours (weekdays, 08:00–18:00) so you can quickly see where open time remains, and new appointments can only be placed inside those hours. Note this highlight is fixed — it does not follow the hours you configure on the Clinic Schedule page, which govern the patient booking page instead.

Working hours

The Clinic Schedule page (/clinic-schedule) lets you configure your available hours for each day of the week.

For each day (Monday through Sunday) you can:

  • Toggle the day on or off — disabled days are treated as unavailable and patients cannot book slots on those days.
  • Set an open time and a close time — times are available in 30-minute increments from 00:00 to 23:30.

Keep this page up to date whenever your availability changes. Patients see only slots within your configured hours when they use your booking page.

Appointment statuses

Each appointment has one of two statuses:

  • Planned — the appointment is scheduled and upcoming (or currently in progress).
  • Cancelled — the appointment was cancelled. Cancelled appointments remain visible on the calendar in a greyed-out style so you retain a record of them.

You can update an appointment's status from the detail panel that opens when you click the appointment block.
