Your patients

Your practice on Virtual Clinic gives you a dedicated patient list, and (depending on which features are enabled for your account) access to medical records, prescriptions, and secure messaging. All patient data in your workspace is private to you — no other practitioner on the platform can see it.

Your patient list

The Patients page (/patients) lists the patients you can see. Each row shows the patient's name and email address.

In the independent-doctors portal — and in any clinic using relationship-based chart access — that list is only the patients you have a treatment relationship with: someone you have an appointment with, have written a prescription or test for, share a conversation with, or who is assigned to you as their primary doctor. Other practitioners' patients are not visible to you. (In a clinic with open charts, the list is every patient in the practice.)

From this page you can:

  • Switch between All patients and My panel — doctors get a toggle in the page header. All patients is the full list described above; My panel narrows it to patients for whom you are the assigned primary doctor.
  • View a patient's details — click a patient's row to open their detail panel on the right side of the page, where you can view and edit their profile.
  • Register a new patient — click + Register New Patient to open a registration form in the side panel. This is useful when a patient contacts you directly and has not gone through the online booking flow.

Access to the Patients page is restricted to doctors. If you see an "Access denied" message, your account may not have the correct role — contact the platform team.

Emergency access (break the glass)

Where relationship-based chart access is in effect, opening a patient you have no relationship with shows an access notice instead of the chart. In a genuine emergency you can break the glass: click Break the glass, enter a reason, and access is granted for a limited time (24 hours by default). You can also start this from the Break the glass button in the Patients page header when you already have the patient's id.

Every break-the-glass event is recorded with your reason and shown to administrators on the Break-glass log, so use it only when the situation warrants it.

Clinical documents

Prescriptions and medical test results live on the Documents page (titled "Clinical Documents"), which appears in the sidebar when the Medical Records or Prescriptions feature is enabled on your account. The page has up to two tabs:

  • Prescriptions — write new prescriptions and review existing ones. Doctors and admins can create prescriptions; patients can only view the ones written for them.
  • Medical Tests — record lab and diagnostic results, which can include file attachments. Only doctors can create test records.

Each tab lists the records and opens a creation form in a side panel. If a tab is missing, its feature has not been enabled for your account — contact the platform team to request access.

Messaging patients

The Messages page provides secure in-platform messaging between you and your patients. Conversations are scoped to your practice workspace — messages sent here are not visible outside your account.

To use Messages, the Messages feature must be enabled on your account. When it is, a Messages entry appears in the sidebar. Start a new conversation with the New Message button in the conversation sidebar, or click an existing conversation to continue it.
